The Academic Education department has an opportunity for temporary COORDINATOR, STUDENT PLACEMENT
to provide administrative support for the placement of students/trainees, including the functions related to affiliation agreements, registration, intake, orientation & analysis of student evaluations. Full-Time Temporary (Approximately 1 year) Non-Union – 1.00 F.T.E. – 70 Hours Bi-weekly
Responsibilities include: • Performing intake duties related to students/trainees, and educational institutions seeking student placements at Baycrest. • Acting as the initial point of contact for educational institutions re: clinical placements and conducting any necessary follow-up regarding completion of contracts, etc. • Coordinating all administrative and intake duties related to student placements, including: registration, orientation, WPEA forms, Meditech training schedules, locker assignment, identification tags, etc. • Acting as the initial point of contact if students or educational institutions have difficulty with a clinical placement and notifying the Baycrest education contact of such difficulties. • Assisting with the implementation of Interprofessional Education (‘IPE’) student placement and coordinating activities related to IPE placements. • Maintaining current databases, policies and procedures related to all student/trainee, observership and fellowship placements. • Organizing orientation and arranging the schedule of clinical placements of students/trainees in consultation with the Baycrest education contact and clinical/residential programs. • Attending meetings, recording minutes, consolidating all feedback from the meeting attendees and assembling it into a final document. • Collecting data for analysis, drafting and producing reports of student activity. • Establishing and maintaining accurate electronic and hardcopy filing systems. • Drafting, editing and distributing correspondence (i.e. minutes, agendas, letters, memos, announcements, presentations, reports, etc.). • Providing cross-coverage for the Executive Assistant and performing other Academic Education administrative duties, as assigned. • Supporting the Director, Academic Education with the implementation of various educational programs and initiatives.
Qualifications include: • Post-secondary school diploma in Office Administration or a related field. • Baccalaureate degree an asset. • Recent courses in information technology an asset. • Two (2) years of experience in a senior administrative assistant position, in healthcare preferred. • Previous experience in an academic environment with knowledge of student placement and affiliation agreements, preferred. • Excellent computer and keyboarding skills, including proficiency in Microsoft Office, Word, Outlook, Excel, PowerPoint and Publisher. • Proficiency and experience working with database programs, such as Microsoft Access. • Demonstrated ability to interact effectively with individuals at all levels of the organization. • Demonstrated ability to use tact and diplomacy in communications and interactions with staff, students and a large number of external academic organizations is essential. • Complex communications and problem solving to maintain positive working relationships with a variety of contacts inside and outside Baycrest. • Ability to analyze and synthesize sizable amounts of detail; demonstrating adaptability and flexibility to deal with educational agencies and internal contacts. • Superior verbal and written communication skills. • Excellent time management skills and the ability to prioritize workload within a fast-paced, deadline driven environment. • Ability to work independently as well as in a team environment. • Exceptional interpersonal, organization, problem-solving and customer service skills. • High level of accuracy and attention to detail required.
