This is an administrative position with responsibilities for document processing and preparation in common office software, database maintenance, preparation of rating documents and file management support.

Accountabilities:

·         Prepare new files as required and purge current files
·         Requires judgment and skill including: outgoing correspondence for other staff, termination reports, presentation materials using a presentation software, proposals, administration guides/kits from a checklist, and financial reports
·         Scanning documents
·         Census data requests, renewal data updates, premium arrears data distribution
·         Prepare all outgoing mail, insurance courier and other courier. Open, sort and screen incoming mail; redirect mail to appropriate offices, maintain/distribute items in central follow-up file, prepare and mail/email outgoing mass distributed releases
·         Maintaining office database of clients and advisors
·         Checking employee enrollment forms and compiling employee new client welcome packages
·         Recording and maintaining incoming specifications for quotation
·         Compiling information from Account Managers for prospect control cover sheets and distributing same
·         Coding bills for authorization
·         Handle all incoming telephone inquiries or redirect all incoming calls
·         Greet visitors: May include making/ordering coffee and making meeting room arrangements
·         Office Maintenance may include: Order furniture and other office equipment as approved, place calls for maintenance of premises (i.e. lights, fax machines, etc.) and parking inquiries

Qualifications and Competencies:

·         Excellent word processing skills including proficiency in Microsoft WORD, EXCEL, PowerPoint and Access
·         Good written and oral communication
·         Teamwork
·         Knowledge of Group Business an asset
·         Good organizational skills
