Print Production Coordinator & Distribution Specialist

The position provides technical expertise to senior levels of Marketing, Administration and Communication Services departments and acts as a liaison between project teams and production areas for the production of high-end Direct Marketing materials and Client Fund Status Reports. The position is also recognized as an expert in Distribution Methodology as it supplies to Great-West Life, London Life and Canada Life and their unique distribution requirements to Field Offices and the Canada Life broker network across Canada. The position must continually monitor internal and external print and bindery production coordinating their completion and delivery ensuring distribution schedules and deadlines are achieved. The position must stay abreast of new print and distribution technologies in an effort to provide the best product at the lowest possible cost to internal business partners, improving service levels when possible. Technologies for print and distributions are varied but include digital color imaging with bindery finishing and the insertion of personalized information into envelopes with labels affixed ready for delivery to Canada Post, or by courier to Field Offices or Brokers in a single production process. The position provides logistical support and assistance with expense management reporting and staff management for the Distribution and Print Buying units in London Life.





§  Provide consultative support to Great-West Life, London Life and Canada Life on distribution methodology unique to each company, and make recommendations to senior management as to the most efficient and cost effective methods available

§  Meet and consult with Marketing areas providing guidance and expertise on the handling of printed support materials for new and existing product launches, and how to best utilize budget dollars to ensure best product, and that Corporate Standards are adhered to.

§  Provide guidance to departments on time required and steps to follow when performing distributions, mailings and dealing with transport companies through production scheduling.

Provide procurement functions to Communication Services on large projects such as new product launches ensuring highest standards of quality and delivery are maintained.


Staff Management:

§  Motivate leaders reporting to this position ensuring unit goals, productivity levels and distribution deadlines are achieved and maintained.

§  Monitor performance, prepare performance appraisals and conduct appraisals on reporting encumbents.

§  Coordinate and oversee large Marketing and Fund Statement distributions from conception through to a final distribution to Great-West Life, London Life and Canada Life offices as well as material delivering directly to external clients.

§  As required, recommend new and replacement staff requirements for units reporting to this position.

Recommend annual salary increases, promotions and submit bonus recommendations to management to recognize outstanding performance and achievements


Expense Management/Administration:

§  Monitor distribution expenses ensuring actual expenses incurred are consistent with approved project budgets

§  Report monthly on distribution hours including total hours of external agency staff required to handle distributions out of the Print Centre.

§  Work with Inventory Management ensuring MRP’s are run daily and that they are expedited ensuring uninterrupted stock supply to H.O., Field Offices and Policy Holders. Work with Inventory Management in resolving Vendor issues on quality, delivery practices etcetera.

§  Maintain a working knowledge of departmental Business Continuity Plans, and participate as required in planning and plan exercises


Qualifications and Competencies:


§  Excellent written and verbal communication skills.

§  Knowledge of Distribution Methodologies and shipping logistics.

§  Strong knowledge of all aspects of Print Procurement including knowledge gained within the print industry covering methods of graphic design, print production (traditional and digital) and bindery finishing.

§  Expert excel/database knowledge to prepare and advise clients on mail merge standards

§  Knowledge of Inventory Management and acquisition economies ensuring cost effective procurement practices on behalf of internal clients.

§  Strong leadership and team building skills, and the ability to motivate regular full time staff and casual staff brought in specifically for large distribution projects.

§  Knowledge of basic accounting principles for an understanding of the correlation between procurement, inventory management and the General Ledger.

§  Ability to manage expenses and staff resources to ensure projects are completed on time and within established and approved budgets.

§  Thorough knowledge of SAP MM module for Print Procurement and reporting functions.
