The Opportunity

National Safety Codes (NSC) Administrator – Red Deer
·         Reviewing driver hours of service logs for errors and prepare for third party auditor;
·         Running monthly audits on internal tour sheet system for non-logbook drivers;
·         Processing NSC related monthly invoicing, sending to accounts payable and working with vendors;
·         Generating purchase orders for vehicle repairs and maintenance;
·         Generating check requests for all vehicle registrations, permit accounts and forwarding payments to vendors;
·         Monitoring third party vendors to ensure WCB and insurance is current and complete; setting up new CVIP vendors, and maintaining documents both to and from respective vendors.  Maintain approved Vendors list;
·         Creating document books for new units and updating document books if unit comes in to yard or comes out of retrofit;
·         Ensuring document books are up-to-date with current and proper permits, registrations, insurance cards, CVIP/PMVI, 6 Month SAI and/or 1 Year Field Inspections, specification sheets and weigh scale tickets;
·         Determining and obtaining proper registration and plates as needed for each unit as per provincial regulation, including scanning copies into SAP;
·         Providing information and obtaining necessary approval for statutory declaration and/or work orders to be sent off for prorated units;
·         Sending requests to registry agent with all appropriate information needed to prorate units (tare weight, # of axles, licensed mass, provinces included in prorate) and inserting prorate fee notice into prorate spreadsheet and issuing IFTA decals;
·         Sending requests to Saskatchewan Finance and Revenue division for tax exempt for Saskatchewan PST on all permanently mounted equipment;
·         Renewing registrations permits and prorate documentation quarterly and annually;
·         Obtaining driver records through coordination with employee, manager and registries provider;
·         Coordinating permits using specification sheet, reviewing and obtaining new permits for respective equipment;
·         Coordinating and maintaining shop CVIP licenses and IFTA decals;
·         Processing CVIP and maintenance documents and updating SAP tracking system;
·         Maintaining SAP equipment records; and, regular review and auditing of internal tracking and filing systems;
·         Receiving and recording recall notices on vehicles and forward info to appropriate driver for repair as required;
·         Processing and maintain driver file information, and SAP tracking for all driving and HSE related tickets, training, orientation packages, etc; and,
·         Processing large volume of documents and files from receipt, data entry, and filing in an efficient and accurate manner.

The successful applicant will possess the following qualifications:

·         Previous accounting or office administration experience is considered an asset.
·         Previous knowledge and experience with vehicle registrations and/or permits an asset.
·         Previous experience with hours of service paperwork including drivers log an asset.
·         Knowledge and experience in creating a using Excel spreadsheets required.
·         Previous SAP experience an asset.
