Reporting to the Manager, STC Records and Contact Centre, the incumbent provides first point of contact at the Hazel McCallion Campus for students with regard to their financial account and student record status with the College.  The incumbent accurately processes a range of transactions including course registration and all associated payments for all student types (postsecondary, continuing education, skills development and apprenticeship).  S/he provides information, answers queries, investigates/resolves problems with student records and supports students in managing their account status using web-enabled services.  As the sole position at the campus responsible for fee payments, the incumbent provides direct support to students, faculty and staff on various complex registration/financial matters and liaises on the students’ behalf with other departments.  The incumbent also provides problem analysis and solution determination on financial aspects of student records to meet current and future registration needs.  
Specific responsibilities include:
• Reviewing each student’s record prior to payment, analyzing each situation/account and providing the best guidance to the student/customer;
• Processing a variety of transactions including course/program admissions, registration, and all payments associated with an account, (tuition, fines, parking, determining discrepancies and giving an explanation, late payments, fee deferrals etc.) using an integrated student information system (SIS);
• Opening and closing a store front counter area;
• Balancing and closing cash sessions as part of the day-to-day departmental process;
• Working with the Records/Admissions/ITI Advising roles to complete a wide variety of admission/registration transactions (mass enrolment merges, Advanced Standings, awarding students, Audit Validation/Verification reports, etc);
• Responding to admission and registration queries to determine the type of assistance required, eliciting further information, and providing explanations, resolutions, clarification to resolve the client’s request at the first point of contact;
• Assessing clients’ needs and where appropriate scheduling appointments for Records Specialists and/or management;
• Acting as a resource for the Records and Registration / Admissions /ITI Advising Specialist and working collaboratively with these positions to offer the best possible student service and to ensure student success;
• Providing thorough explanations of Ministry and College policies as they pertain to the specific student situation by communicating in a manner that is understood by all client groups (refund policy, appeal policy, part time/full time status policy);
• Monitoring enrolments and enquiries and responding/resolving problems;
• Compiling statistical data regarding client visits and types of customer service issues to create reports for management to aid with decision making;
• Other duties as assigned.

Qualifications:

The successful candidate will have a three year diploma/degree in the field of Public Relations, Business Administration or related field along with a minimum of three years of practical work experience in a position that processes specialized information while interacting with customers and providing guidance and resolving problems, preferably in an educational environment (or an equivalent combination of relevant education and experience). Proficiency in operating a computer and related software packages and a thorough working knowledge of the Student Information System (SIS) is required.  Thorough understanding of all program offerings, Ministry and College guidelines, policies and procedures is preferred.  The successful candidate must possess excellent customer service, organizational and interpersonal skills including tact, diplomacy and judgment.  Excellent communication skills are essential in order to ensure the diverse student population is well served.  Proven problem-determination and resolution skills and the ability to work well independently in a team-based environment are essential.
