Reporting to the Associate Dean, Faculty of Applied Science & Technology (FAST), in the School of Applied Computing, the Administrator is responsible for managing the administrative functions of the office of the Associate Dean. The incumbent is required to organize and expedite the flow of work through the Associate Dean’s office and to have a thorough understanding of academic operations and Human Resources principles in order to act on behalf of the Associate Dean, as appropriate, and to escalate matters when necessary. 

Specific duties include:
• Coordinating resources for faculty necessary for teaching activities; providing administrative orientation for new faculty; ensuring that all contracts are delivered in accordance with the Academic Collective Agreement;
• Coordinating and administering Human Resources activities for faculty;
• Assessing part-time teaching requirements and providing analytical data for Associate Dean’s planning purposes;
• Identifying and resolving timetable conflicts and last minute scheduling changes;
• Researching, planning and coordinating operational processes within the portfolio of the Associate Dean;
• Managing and maintaining information pertaining to faculty workload, program and course assignments and, for some programs, designing student and faculty schedules to meet complex facilities and  pedagogical parameters;
• Collecting, organizing, analyzing and inputting relevant data for program management processes such as program planning & development and enrolment strategies, and developing/improving processes which impact these functions;
• Acting as first point of contact for inquiries, complaints and/or appeals to the Associate Dean;
• Maintaining and ensuring accuracy of SLATE information and system set-up;
• Organizing and processing non-full time recruitment activities as required, including soliciting resumes through job postings and/or internal and external networking, sorting resumes, matching faculty expertise to course requirements based on set criteria and advising of availability of faculty to the Associate Dean based on requirements of the portfolio;
• Providing leadership and indirect responsibility for assigning and monitoring the work of Support Staff and students;
• Assisting in the monitoring of the Faculty budget including assembly and organization of relevant academic data;
• Liaising with external vendors and approving purchases/expenses within pre-set limits;
• Scheduling appointments and maintaining the calendar of the Associate Dean; setting- up and  preparing documents for
meetings; composing correspondence on behalf of the Associate Dean;
• Participating as an active member to represent the Faculty on various committees.

Qualifications

The successful candidate will possess a 3-year post-secondary diploma or degree, preferably in Office or Business Administration, and will have a minimum of 5 years of work related experience (or an equivalent combination or relevant education and experience).  The incumbent will possess proven organization, management, oral and written communication and interpersonal skills, along with the ability to deal with high volumes of work with constantly changing priorities.  The incumbent must also possess demonstrated analytical skills and relevant technical knowledge that involves, but is not limited to, computerized databases, spreadsheets and word processing skills as well as familiarity with College systems (preferred).  Must be able to act independently, as well as display initiative, discretion and good judgment at all times to act in matters pertaining to the operational and/or administrative priorities of the portfolio in the absence of the Associate Dean.
