Under the direction of the Manager, Records, Registration and Scheduling, the Scheduling Associate is a member of a team that supports the registration and scheduling processes at the College through the creation of term based timetables for both students  and faculty. The incumbent works closely with all areas of the Office of Registrar, school administrative staff, support staff and program co-ordinators to ensure student timetables meet the needs of students and faculty for optimum course delivery.  The incumbent gathers, compiles, compares, analyses, problem-solves, and summarizes vast amounts of data related to creation of student and faculty timetables.  They also generate reports on space utilization for reference and planning purposes by senior College officials, make recommendations on space requirements and support the scheduling component of the enrolment management process.  

Specific responsibilities include:

• Scheduling appropriate instructional space for all Postsecondary, Skills Development and Apprenticeship activity (across three campus locations) in order for each School to meet their teaching requirements, while maximizing the use of College resources and producing faculty and student timetables in both print and web viewable formats within established timelines;
• Advising and supporting the Schools throughout the scheduling process by setting up programs in School’s RIF data collection system & Budgeting system (AI);
• Examining data and ensuring the information is verified to guarantee the accuracy of each course, class, instructor, room specification, delivery pattern, and constraint, and anticipating where problems may occur prior to the running of the scheduling software;
• Liaising with Facilities Management, School Administration, Faculty and Associate Deans in order to capture all data required to deliver appropriate timetables for students and faculty;
• Maintaining the Student Information System (SIS) with respect to course catalogue, enrolment numbers, instructors, student blocks and course blocks, ensuring that the  web view to students and faculty is current;
• Resolving timetable conflicts/problems within the scheduling guidelines;
• Setting up, conducting and analyzing space simulations on a term-by-term basis of space requirements, and communicating results with Manager, Registrar and Space Committee to identify deficiencies;
• Monitoring, tracking and implementing all Academic Committee changes ensuring that the necessary creation, modification or updating has occurred on all 3 systems;
• Providing recommendations to improve and assist in the future development of the school’s RIF data collection system & budgeting system;
• Performing other related duties as assigned.

Qualifications

The successful candidate will have a two-year diploma in the field of computers or business administration and three years of practical experience in a customer service role in a busy environment processing a wide variety of complex inquiries (or an equivalent combination of relevant education and experience).  The incumbent must have a thorough understanding of all program offerings, Ministry and College guidelines, policies and procedures and must have a general understanding of integrated databases and database tools such as spreadsheets (Microsoft Excel).   Proficiency with Microsoft Office and a thorough working knowledge of a SIS in a networked environment is required. The candidate will have superior communication, interpersonal, problem solving and conflict resolution skills as well as the ability to work both independently and in a team. Additionally the incumbent must be an analytical thinker and be able to take the initiative to identify and resolve problems within the scope of the position and recommend solutions.
