Under the direction of the Manager of Records and Registration, the incumbent is a member of a team which is the sole contact for maintaining student records. He or she provides specialized student records services including the maintenance of accurate Student Information System (SIS) records throughout the life cycle of the student, from enrolment through to graduation, according to academic policies and procedures and Ministry of Training, Colleges and Universities regulations. The incumbent provides direct support to students, faculty, and staff on various complex registration matters and liaises on the student’s behalf with other departments. The incumbent also provides problem solving analysis for business processes and resolution determination on all aspects of student records to meet current and future registration needs.

Specific responsibilities include:
• Managing student, academic faculties and department enrolment activities that are time sensitive in nature through a variety of channels (in-person, e-mail, telephone);
• Responding to client issues involving course and timetable changes, course adds and drops, program withdrawals,  and advanced standings while at the same time analysing each situation and providing the most current and accurate information to the client;
• Advising, guiding and supporting postsecondary students through the entire student life cycle and working as an advocate for the student;
• Acting as the records and registration resource for the academic faculties and service departments and working collaboratively with these areas to offer the best possible student service and to ensure student success;
• Processing student enrolment and Ministry Audit records while working within established timelines and accurately interpreting and applying academic policies and procedures;
• Ensuring student enrolment records are validated by proactively researching, analyzing and updating the Student Information System (SIS) in response to external reporting requirements for the College;
• Assessing the students’ eligibility for readmission to a program and eligibility for graduation;
• Assessing students’ progress in programs from term to term based on the academic standing policies and established requisites and identifying trends or variations in enrolment patterns that may affect the enrolment plan;
• Assisting with the transfer of knowledge to new staff by demonstrating processes and procedures to perform their daily operational activities;
• Other duties as assigned.

Qualifications:
Candidates must have a three-year diploma/degree in the field of education, social sciences, information technology, business administration or a related field and  must have a minimum of three years practical work experience in a position that processes specialized information while interacting with customers and providing guidance and resolving problem determination in an educational environment.  Proficiency in operating a computer and relevant software packages and a functional knowledge of a Student Information System (SIS) is required (or a relevant combination of education and related work experience). 
Candidates must have excellent customer service, communication, and interpersonal skills and possess the ability to use tact, diplomacy and judgment as needed on the job.  In addition, candidates must possess the ability to work in a team environment, problem-solve, organize and prioritize duties, make decisions, work independently and have effective resolution skills.
