The Executive Assistant is responsible for the effective operation and professionalism of the Director Office, including communications, scheduling and coordination, and appropriate office and support procedures. The Executive Assistant identifies matters which require the Directors attention. The Executive Assistant coordinates maximum levels of collaboration between the directors, managers, and the team members.
Responsibilities:
· Performs minute taking and prepares agendas for meetings.
· Supports managers with external reporting.
· Develops a tracking system for department grants, budget, and reporting deadlines.
· Plans department team building celebrations.
· Coordinates and schedules professional development for Health staff
· Responsible for the Health Director’s schedule and setting up meetings.
· Tracks anniversary dates and performance reviews for Health department staff
· Provide consistent and excellent administrative support.
· Manage mail, email, texts, faxes, incoming calls, and other communications.
· Contribute to Takla Nation’s integrity and image by being knowledgeable about First Nations protocol, and government protocol.
· Provide quick and appropriate responses to enquiries or refer to others as appropriate.
· Establish and maintain positive relationships with internal and external individuals and agencies.
· Works with finance department regarding budgets, cheques, monthly visa reconciliations
· Assist with the interpretation of policies and procedures of Takla Nation.
· A high degree of planning and coordination and the requirement to triage, address and refer matters from constituents and other sources, which include those of a politically sensitive and/or controversial nature.

Experience and Education Requirements:
- Completion of relevant post-secondary credential (preferably business administration) with a minimum of two years’ experience.
- Demonstrated commitment to service excellence.
- Demonstrated positive experience and judgement in decision-making and problem solving.

· Ability to successfully and periodically undergo an appropriate criminal records review and police record check is required
Job Type: Full-time
Salary: $38,431.15-$79,553.43 per year
